Your details are important to us - we collect your information solely for the administration of the USSO Course.

We at Universities of Scotland Symphony Orchestra (“USSO”), (“we” or “our” or “us”) want to make sure all the personal information we have collected about you, is safe and secure whether we collect it through our application process or for e.g. travel / dietary details closer to the time of the course itself.

We have not appointed a Data Protection Officer to oversee our compliance with data protection laws as we are not required to do so, but our Artistic Director has overall responsibility for data protection compliance in our organisation.

PRIVACY NOTICE

Collecting specific, relevant personal information is a necessary part of us being able to provide you with a residential course and tour.

When we hold or use your personal information we will provide you with a link to this privacy notice which sets out in detail what information we hold about you (such as your contact details, address, etc.), how your personal information may be used and the reasons for these uses, together with details of your rights.

Where we collect personal information from you directly, we will provide this privacy notice at the time we collect the personal information from you. We will only provide this privacy notice to you once, generally at the start of our relationship with you. However if the applicable privacy notice is updated substantially, then we may provide you with details of the updated version. You are encouraged to check back regularly for updates.

Who do we share information with...

All data and email:

Information is gathered with Google Forms, and thereby stored by Google - their privacy policy is outlined here

USSO's account is protected with 2-step authorisation, and can only be accessed by the General Manager and Artistic Director. All machines that access this information are password and firewall protected. All applicant data, other than name and email address, is deleted from Google six months after the course has been completed.

Application details:

For application decisions, playing details/experience is made anonymous and shared as a spreadsheet with an independent professional musician, the General Manager, and the Artistic Director. Only instrument, grade, current playing position, leader request and orchestral experience is shared. All other personal or identifying data is stripped from this document.

Dietary/medical details:

Dietary information is made anonymous and then shared with accommodation and any travel partners as required.

Medical details will be shared with a medical professional in case of emergency only.

Contact information only:

Contact information (name, institution, email, instrument) is in turn stored by MailChimp. This enables us to bulk send emails to applicants and keep track of who has received what email. MailChimp's privacy policy is outlined here. When you receive and engage with a campaign, web beacons track certain behavior such as whether the email sent through the MailChimp platform was delivered and opened and whether links within the email were clicked. They also allow MailChimp to store cookies, and to collect information such as your IP address, browser, email client type, and other similar details. MailChimp uses this information to measure the performance of our email campaigns, and to provide analytics information..

Notifications of Reserve Lists, Concert dates, and future course announcements will also be made via MailChimp.

Click 'Unsubscribe' at the bottom of any of our emails to be removed from the USSO list on MailChimp.

Your Rights / Request for data

You are entitled by law to ask for a copy of your personal information at any time. You are also entitled to ask us to correct, delete or update your personal information, to send your personal information to you or another organisation and to object to automated decision making. Where you have given us your consent to use your personal information in a particular manner, you also have the right to withdraw this consent at any time.
